Studio Admin FAQ & Instructions
1. Getting Started: Claiming Your Studio
To claim your studio profile and unlock admin features, search for your studio name on the homepage. Click on your studio, and then click the "Claim Studio" button next to the title. Once approved by our team, you will receive full access to the Management Dashboard.
2. Customizing Your Profile
From the Management Dashboard, you can update your public profile. This includes:
- Uploading a Studio Logo
- Writing a Bio
- Linking your Instagram and TikTok handles
These details will immediately reflect on your public studio page, helping dancers and parents find your official links.
3. Dashboard Statistics Customization
You have full control over what data visitors see on your public studio page. In the Management Dashboard, scroll down to the "Public Dashboard Visibility" section to toggle the following metric cards on or off:
- Total Awards & Events Attended
- 1st Place Finishes (All Time & This Year)
- Activity metrics (Past 5 Years & This Year)
As an admin or verified owner, you will always be able to see all of your statistics. Cards that are hidden from the public will display a red HIDDEN badge for your eyes only.
4. Managing Your Dancer Roster & Adding Dancers
To protect the privacy and data of our users, we do not allow global searching of dancer names. Instead, you can add an existing dancer to your roster by using their Unique ID.
- Ask the dancer (or their parent) for their Unique ID, which they can find on their public profile URL or inside their Dancer Dashboard.
- Go to the Dancer Roster tab in your Management Dashboard.
- Click + Add/Claim Dancer and enter the Unique ID. This instantly links their existing awards to your studio.
- If the dancer does not exist in the system yet, you can use the same popup to instantly create a new profile for them!
5. Embedding the Website Widget
Showcase your studio's achievements natively on your own website! Go to the Widget Builder in
your dashboard. You can customize the background and text colors to match your branding, and simply copy-paste
the generated <iframe> HTML code directly into your website builder (Wix, Squarespace,
Wordpress, etc.).
6. Adding Awards to Your Profile
You have full control over the awards displayed on your public profile. You can add awards directly from the Studio History tab or by using the Quick-Add feature in your Studio Dashboard.
Methods for Adding Awards:
- Search & Claim: Search for an award by dancer or routine name. If the award already exists in our database (from a previous competition import), you can click the "Claim" button next to it to add it to your roster.
- Manual Entry: If an award is not yet in our database, you can click the + Add Award button. You can manually enter all details including competition, date, awards, and placement. For efficiency, the system will remember the "Last Competition" you entered, pre-filling those details for subsequent entries.
Once added, the award will appear on your public dashboard and can be used in AI-generated summaries!
7. Curating Your Hall of Fame
The Hall of Fame on your public profile automatically showcases your studio's top achievements (such as 1st place titles, scholarships, and national finals placements). However, you have full control to override this and curate exactly what is shown.
Go to your Studio History -> Awards editor. Next to each award, you will see a HoF column with a star icon. Click the icon to cycle through the visibility options:
- ☆ Auto-Detect: Let the system decide if this award is prestigious enough for the Hall of Fame.
- ⭐ Pinned: Force this award to always display in the Hall of Fame, regardless of placement or title.
- 🚫 Hidden: Force this award to never display in the Hall of Fame, even if it was a major win.
8. Generating AI Marketing Summaries
Need to write a social media post or press release about your competition results but don't have the time? Our platform uses an advanced AI Marketing Summary Generator to do it for you instantly!
- Go to the Studio History tab in your dashboard.
- Click the 📄 Generate Text Summary button next to the competition you want to highlight.
- Our system will automatically check the boxes for your major podium placements (1st, 2nd, 3rd, Hope, Grand Prix). You can manually check or uncheck any "Top 12/24" awards to completely curate your list.
- Choose your desired Tone ("Enthusiastic" for Instagram or "Professional" for Press Releases) and click ✨ Generate AI Summary.
- The AI will instantly write a beautifully formatted, inspiring marketing blurb based only on the awards you selected. You can edit the text directly in the box if needed!
9. The "Pseudo-Studio" Edge Case (Multi-Studio Collabs)
Q: What happens if two dancers from two DIFFERENT studios compete together in a Pas De Deux or Group (e.g., at YAGP)?
A: Our system handles this by creating a "Pseudo-Studio" that literally combines both studio names (e.g., "Studio A & Studio B"). This keeps the database fast and prevents structural errors.
Because it is technically a new combined entity, the award won't automatically appear on your main standalone dashboard. However, the award will perfectly appear on the individual Dancer's profile. If you want the award to also show up on your standalone Studio Widget, you can manually use the "Add Award" tool in your dashboard to self-report it onto your roster.
